Terms and Conditions

for the use of Broadford Village Hall

All users commit to and accept the following terms and conditions upon completing your online booking. Any failure to adhere to the terms and conditions will result in a first warning; any failure thereafter could result in the cancellation of the venue hire with no refund.

General use of any of the rooms within the hall building.

  • Only use the room/hall that you have agreed to hire. If you wish to use more than one room/hall at the same time, then please make this clear when booking the venue for your activity.
  • If your activity includes any ball games, then these must take place in the main hall only with appropriate equipment suitable for indoor use only.
  • Any person hiring the hall for an activity is responsible for ensuring that they have the correct qualifications to run the activity e.g. first aid certificate, safeguarding and child protection training, sports specific certification, enhanced disclosure check. Safeguarding and child protection policies must be in place for groups to be able to book the hall and the committee reserve the right to request these at any time.
  • Any person hiring the hall for an activity that involves contact sports e.g. football, basketball, karate, etc is responsible for ensuring that they have the correct insurances in place before hire of the premises.
  • The hall committee are not responsible for checking the qualifications of hirers but reserve the right to do so if any concerns are raised.
  • If any damage occurs, either to the venue or equipment within it, please advise the Facility Officer as soon as possible. A decision will then be made whether a charge would need to be made for repair / replacement.
  • Although the hall is cleaned twice a week, it is expected that hall users will leave the hall in the way that they found it, which hopefully will be clean and tidy. Please encourage any litter to be placed into the correct bins.
  • If you use anything within the hall, e.g. chairs, tables, ladders, please put them back where they came from
  • If using any equipment already within the hall, please ensure that it is left in a manner that allows maximum use of the hall for following groups. Users to remove all their own equipment at the end of their hire.
  • Cancellation time is 24 hours before your booking time. No refunds after this time will be made.
  • All users must make themselves aware of firefighting equipment, call points, emergency exits etc, see the Fire Plan in the entrance hall. Fire exit doors must be kept clear at all times.
  • PLEASE NOTE: There will be a cancellation fee should you make the wrong booking and require a refund. However please contact us as we could arrange for a booking to be placed at a later date, and therefore no refund needed. 

Kitchen Rules

  • It is the responsibility of the users to ensure that the kitchen area, including appliances such as the cooker, microwave, fridge, dishwasher and extractor fan, are left clean and tidy. Any crockery, utensils, drinks glasses etc that are used should be washed, dried and returned to their correct storage area. If the dishwasher is used, it is the user’s responsibility to ensure that it has been drained down. The floor should also be left clean and ready for the next group.
  • Instructions for the various appliances are in the blue folder in the drawer to the right of the sink.
  • It is not the responsibility of the Facilities Officer to keep the appliances clean, nor to clean up and put away after the kitchen has been in use.

Finally, it is the responsibility of the last hall user to leave the venue to ensure that the contactor switch is set to ‘off’ and that all doors are closed and locked as they leave, not just the one in the room they have been using. This should be the case even if you are followed by another group who are not present when you leave; they may have cancelled without you knowing and this avoids the hall being left unlocked.
